RESPONSIBILITIES
The Aerospace Corporation is looking for a dedicated Executive Assistant to provide administrative support for Launch Operations Division (LOD) General Manager (GM), management team and staff. In this role you will perform tasks requiring considerable judgment, discretion, and initiative in a fast-paced, dynamic environment. You will work closely with the LOD management and staff to ensure the efficient operations of the Division and be responsible for numerous administrative tasks in support of the organization.
KEY FUNCTIONS
* Maintain the General Manager's calendar and appointments, establishing and adjusting schedule priorities to ensure optimum use of time, manage communications and identify action items
* Coordinate staff meetings, development status reviews, launch readiness reviews and other technical meetings including reserving conference rooms, working with conference services and other departments to secure necessary resources and services
* Maintain program schedules, to include division Launch Campaign Calendar and associated launch manifest files
* Interface with Aerospace Executive Management, high level Air Force personnel and contractor representatives; coordinate meetings; escort visitors
* Serve as division liaison with AF front office administrative staff
* Maintain Division records, assist in the generation of briefings, reports and contract deliverables
* Serve as a resource for the division and assist in obtaining and disseminating information concerning corporate and division policy, procedures, meetings and action items
* Make travel arrangements, complete expense reports, arrange visit requests and clearances
* Act as the Functional Time Administrator (FTA) for EZTime, monitor timecard status
* Serve as Aerolink Administrator and Key Knowledge Steward, and Sharepoint Ambassador
* Provide administrative support for the General Manager's front office and division staff as requested
* Assist other administrative staff and division personnel as necessary to ensure the smooth operation of the Division including meeting coordination, travel, supplies, etc.
* Assist LEO and LSD admin support as necessary
* Monitor status of office supplies and equipment and procure as needed
* Coordinate and escort personnel for the maintenance, repair and move of office equipment
* Other duties as required and assigned
QUALIFICATIONS
REQUIRED
* US citizen with current and active DoD Secret clearance
* High School Diploma or equivalent
* Skilled in the use of standard office software including Microsoft Office 365, Aerolink and Sharepoint, Concur and other office productivity applications
* Proficient in the use of teleconferencing systems and on-line collaboration tools
* Willing and capable of learning new office tools and procedures
* Strong interpersonal and verbal communications skills with the demonstrated ability to work in an integrated (AF, Aerospace, contractor) team environment
* Flexible; responsive and receptive to regularly changing needs and requirements
* Must be organized, efficient and able to independently prioritize and execute multiple competing tasks to successful completion with attention to detail
* Discretion, dependability, and initiative are essential
PREFERRED
* 10 or more years of relevant experience with progressively increasing responsibilities
* Strong written communication skills
* Demonstrated initiative, ability to identify and implement process improvement initiatives
* Familiarity with Aerospace corporate organizational structures, policies and practices
* Familiarity with corporate processes for generating TORs, CSRs
* Experience working with various levels of customers, contractors, Aerospace and SETAs in a program office environment
